RentAAA Merchant Wallet Policy

This Policy explains how the Merchant Wallet works. It should be read with the RentAAA Pro Merchant Terms & Conditions and Privacy Policy, the Merchant Payment Policy, the applicable Merchant agreement and any Payment Provider terms.

RentAAA is not a marketplace, rental agency, broker, agent or reseller. RentAAA provides software and payment-administration tools only. The Merchant remains responsible for its own rental items, vehicles, property, inventory, accommodation, goods, services, pricing, refunds, bonds, damage claims, insurance, disputes and customers.

1. Definitions

Chargeback includes a card dispute, Direct Debit dishonour, payment reversal, returned payment, scheme dispute or similar recovery.

Customer means a person obtaining rental or other services from the Merchant.

Merchant means an independent rental or service provider using RentAAA Pro.

Merchant Wallet means the Payment Provider’s settlement facility associated with the Merchant and administered through RentAAA for payment settlement, holds, transfers, refunds and payouts.

Payment Provider means an appointed third-party gateway, processor, financial institution or payment service provider.

RentAAA means Starr Group Pty Ltd trading as RentAAA.

2. Nature of the Merchant Wallet

2.1

A Merchant Wallet is established for a Merchant approved to use RentAAA payment services. It is supplied through the Payment Provider and made available through RentAAA Pro.

2.2

The Merchant Wallet may display pending, processing, available, held, reserved, paid-out, reversed and negative amounts.

2.3

The Payment Provider maintains the underlying settlement account. An amount shown in the Merchant Wallet represents a settlement position subject to processing, provider rules, holds, reserves, fees, refunds, reversals and Chargebacks.

2.4

The Payment Provider, not RentAAA, is the main holder or maintainer of the underlying payment, settlement and payout accounts. RentAAA does not hold Customer or Merchant funds in its own bank account.

2.5

The Merchant Wallet is not a bank deposit account supplied by RentAAA, does not pay interest and must not be represented to Customers as a Customer Wallet or customer balance.

3. RentAAA’s administration authority

3.1

The Merchant appoints and authorises RentAAA to administer the Merchant Wallet and send authorised operational instructions to the Payment Provider. The Payment Provider continues to maintain the underlying payment, settlement and payout accounts. RentAAA’s operational control does not mean RentAAA physically holds the funds or becomes the beneficial owner of those funds.

3.2

Within the Merchant agreement and Merchant Payment Policy, RentAAA may:

  • hold funds by restricting their availability, or release them from hold;
  • initiate a scheduled or manual payout;
  • transfer amounts between settlement classifications or approved accounts;
  • process a refund or reversal;
  • deduct authorised fees, Chargebacks, reserves or negative balances;
  • reconcile transactions and correct supported errors; and
  • restrict wallet functions where required for security, fraud, provider or legal compliance.
3.3

RentAAA may exercise these controls only for legitimate payment administration, reconciliation, provider requirements, refunds, Chargebacks, risk management, legal compliance or enforcement of the Merchant agreement.

3.4

RentAAA can hold, release and transfer settlement funds through the Merchant Wallet within the authority described above. This operational control does not by itself make RentAAA the beneficial owner of those funds.

4. Settlement and availability

4.1

A Customer payment is recorded in the Merchant Wallet after it reaches the applicable processing stage. Availability for payout depends on successful settlement and applicable holds or adjustments.

4.2

A displayed pending or available amount is not an unconditional promise of payout. Transactions may later be dishonoured, reversed, refunded or charged back under applicable payment rules.

4.3

RentAAA will make reasonable transaction, settlement, payout and wallet-status information available through the Platform, subject to Payment Provider availability, API access, dashboard access, reports, security restrictions and applicable law.

5. Payouts

5.1

Payouts occur on the schedule agreed with the Merchant or displayed in RentAAA Pro. Where enabled, the Merchant may request a manual payout of available funds.

5.2

Payouts are subject to processing cut-offs, provider and banking timeframes, approved payout-account verification, holds, reserves, refunds, Chargebacks, negative balances and compliance requirements.

5.3

RentAAA may delay a payout where reasonably necessary to investigate an error, fraud, security issue, provider instruction, dispute, legal requirement or material breach.

5.4

RentAAA will notify the Merchant of a material delay and its general reason where lawful and reasonably practicable.

6. Holds and reserves

6.1

RentAAA may place or continue a reasonable hold or reserve for a pending refund or Chargeback, unusual activity, prepayment risk, excessive disputes, suspected fraud, provider or regulator instruction, insolvency, non-fulfilment risk or another documented risk connected with the Merchant’s transactions.

6.2

A material hold or reserve will be reviewed periodically and released when no longer reasonably required, subject to outstanding adjustments and Payment Provider rules.

7. Fees, refunds, Chargebacks and negative balances

7.1

The Merchant authorises RentAAA to deduct fees and properly recoverable payment adjustments described in Merchant Payment Policy or applicable fee schedule.

7.2

Approved refunds are ordinarily returned through the original payment system. RentAAA may fund a refund from available Merchant Wallet amounts, reserves, future settlement or another separately authorised Merchant payment method.

7.3

A Chargeback, reversal or dishonour may be deducted even after the original amount was paid out. The Merchant must restore a valid negative balance in accordance with the Merchant Payment Policy.

7.4

RentAAA will provide reasonable supporting information for a material adjustment on request, subject to provider, scheme, confidentiality and security restrictions.

8. Merchant Wallet access and security

8.1

The Merchant must restrict Wallet permissions to authorised personnel, use appropriate access roles and promptly remove access that is no longer required.

8.2

The Merchant must promptly report suspected unauthorised access, payout-account changes, fraudulent instructions or reconciliation errors.

8.3

RentAAA may require additional verification before changing a payout account, granting high-risk permissions or releasing a hold.

9. Suspension, closure and dormant amounts

9.1

RentAAA may suspend or restrict Merchant Wallet functions where reasonably necessary for security, fraud, provider or regulator requirements, unlawful activity, material breach, excessive Chargebacks, insolvency or an unresolved negative balance.

9.2

Termination or closure does not prevent later refunds, Chargebacks, reversals or provider adjustments relating to earlier transactions. Remaining available funds will be paid out after applicable holds and adjustments are resolved.

9.3

RentAAA will attempt to contact the Merchant about dormant or unclaimed amounts. Those amounts may be dealt with under applicable unclaimed-money law after required steps are completed.

10. Wallet errors and complaints

10.1

Customers and Merchants should report a suspected Wallet or transaction error promptly. A prompt report improves the ability to investigate, but no reporting period removes a right that cannot lawfully be excluded.

10.2

RentAAA will acknowledge complaints promptly, investigate fairly and aim to provide a substantive response within 30 days. If more time is reasonably required, RentAAA will explain why and provide an updated timeframe.

11. Changes, governing law and contact

11.1

RentAAA may update this Policy for legal, provider, security or operational reasons under the change process in the applicable Customer or Merchant terms. A change does not retrospectively alter a completed transaction without a lawful basis.

11.2

This Policy is governed by New South Wales law. The dispute and jurisdiction provisions in the applicable RentAAA Customer or RentAAA Pro Merchant Terms apply.

12. Trade mark and intellectual property

12.1

The RENTAAA name is an Australian registered trade mark of Starr Group Pty Ltd. All RentAAA software, websites, applications, platform content, designs, branding and related materials are owned by Starr Group Pty Ltd or its licensors and may be used only as permitted under these Terms.
